• Questions about a property, neighborhood, transaction, or real estate service
• Communication preferences and records of consent

Please do not submit Social Security numbers, financial-account credentials, medical information, or other sensitive information through a general Site form.

Information collected automatically

When you use the Site, we and providers acting on our behalf may automatically collect limited technical and usage information, such as:

• Internet Protocol address and approximate location derived from it
• Browser, device, and operating-system information
• Pages viewed, links selected, referring pages, and visit timing
• Site performance, diagnostic, security, and error information
• Cookie identifiers and similar information where those technologies are used

Communications and marketing

Email and telephone follow-up

When you submit a form or request information, we may respond by email or telephone and, where permitted by law and consistent with the disclosures and choices presented to you, may send communications about our real estate services, listings, market information, events, and related resources. You may unsubscribe from marketing emails using the unsubscribe link in the message. We may still send non-marketing communications reasonably necessary to respond to an active request, support a transaction or client relationship, or meet a legal obligation.

Cookies and analytics

The Site may use cookies and similar technologies for functionality, security, analytics, and performance. We currently may use Google Analytics and Vercel Analytics to understand how visitors find and use the Site and how the Site performs. These services may process device, browser, referral, page-view, performance, approximate-location, and similar usage information.

Google Analytics may use cookies or similar identifiers. Google’s handling of information is governed by its own privacy practices. More information is available at policies.google.com/privacy.

Google Search Console may provide information about how the Site appears and performs in Google Search. It is not installed in the visitor’s browser in the same manner as a visitor-facing analytics tool.

Analytics providers may change. We will update this Policy when a change materially affects how personal information is handled.

Where required by applicable law, we provide consent or preference controls before using nonessential cookies or similar technologies. You may also use browser controls to limit cookies. Some Site functions may not work as intended if certain technologies are blocked.

AI-assisted processing

We and providers acting on our behalf may use artificial intelligence and automated tools to support our operations. For example, these tools may help classify, summarize, tag, route, or draft a response to an inquiry; organize information in a customer relationship system; or support quality control and workflow automation.

Personal information may be provided to an AI or automation provider only as reasonably necessary to perform services for us. Velvet Rook may configure or operate these workflows on our behalf and may access their outputs for support, quality control, or troubleshooting. Velvet Rook does not use client lead information for Velvet Rook’s own marketing or unrelated purposes.

These tools may support Site operations and human workflows. They are not used through this Site to make binding decisions about mortgage eligibility, credit, insurance, housing eligibility, legal rights, or access to professional services.

How we disclose information

We may disclose personal information to providers and professional advisers that help us operate the Site, manage inquiries, communicate, and provide real estate services. These may include providers of:

• Website hosting, infrastructure, content management, security, and technical support
• Form delivery, workflow automation, and error monitoring
• Customer relationship management and business recordkeeping
• Email delivery, email marketing, and telephone communications
• Analytics, search performance, and Site measurement

These parties may receive information reasonably necessary to perform services for us and are subject to their applicable agreements, terms, and privacy practices.

We may also disclose information when reasonably necessary to comply with law or legal process; protect rights, property, safety, or security; investigate fraud or misuse; enforce agreements; or complete a business financing, merger, acquisition, restructuring, sale, or transfer.

We do not sell personal information for money.

Third-party real estate features

Home valuation

If you use the home-valuation feature, the information you enter, which may include your name, email address, telephone number, and property address, may be provided to Homebot to generate and deliver the requested information and support follow-up. An automated valuation is an estimate, not an appraisal. The provider’s own privacy policy may also apply when you interact directly with its feature.

Property search and listing links

The Site may link to a property-search or listing platform operated by Windermere Real Estate/Central, Inc. Information you provide directly on that external service is governed by its privacy policy, not this Policy.

Client-managed listings

The Site may display listing information selected for display on the Site. If a listing card links to another website, information you provide on that external website is governed by the external site’s privacy policy.

Testimonials and reviews

With permission, we may publish a client’s name, comments, images, or description of a transaction. Visitors should not submit personal information about another person for publication unless authorized to do so.

Data retention

We retain personal information for as long as reasonably necessary for the purposes described in this Policy, including responding to inquiries, providing services, maintaining business and consent records, resolving disputes, enforcing agreements, preventing abuse, and meeting legal, regulatory, accounting, or contractual obligations.

Retention periods vary based on the type of information, how it was collected, our relationship with you, provider settings, and applicable requirements. We may delete or de-identify information when it is no longer reasonably necessary.

Technical logs or failed-delivery safeguards may temporarily contain submitted information. Their retention may depend on the configuration and retention schedule of the applicable infrastructure provider.

Information security

We use reasonable administrative, technical, and organizational measures designed to protect personal information in our possession or control. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your privacy rights and choices

Depending on where you live and which laws apply, you may have rights to request access to, correction of, deletion of, or a copy of certain personal information, or to opt out of certain processing. Applicable law may provide additional rights or exceptions.

Adult audience and children’s privacy

Third-party websites and services

The Site may contain links to websites and services operated by third parties. We do not control their content, security, terms, or privacy practices. This Policy does not govern information you provide directly to them. Review the privacy policy of any third-party service you use.

Changes to this Policy

We may update this Policy to reflect changes in our services, technology, legal requirements, or information practices. We will revise the “Last updated” date when we do. We may provide additional notice of material changes where appropriate or required by law.
